Getting Started: SSM (MO) Onboarding Guide for Healthcare Professionals

Everything you need to know about onboarding with SSM in the state of Missouri!

ShiftMed Requirements

To begin onboarding through ShiftMed, all healthcare professionals will need to submit and complete the following within the ShiftMed app:

  • Proof of Identification (DL, Photo ID, Passport, etc.)

  • Social Security Number

  • Professional License (6+ months experience)

    • You can upload multiple Professional Licenses and any Specialties, if applicable

  • Training Manual - Complete directly within the app using the tap to sign feature

  • Company Handbook - Complete directly within the app using the tap to sign feature

  • Arbitration Agreement

  • Submit Work History (this is like uploading a resume)


Credentialing Requirements

Candidates must complete the following credentialing expectations:

Background Checks and Screening

  • SAM

  • OIG

  • Background Check (Checkr)

  • Drug Screen - 10 Panel


Certifications

  • BLS / ACLS / PALS - Valid for 2 years

    • Accepted providers: AHA, HSI (BLS/ACLS), ARC

    • CPR certification requirements will depend on each specialty.

      • All licenses are required to have BLS

  • N95 Mask Fit

  • NIH Stroke Scale Course - Requirement for ED/ER, ICU, Stepdown


Health Requirements

  • TB Test (all methods accepted) - Valid for 1 year

    • Annual agreement renewals allowed

  • Hepatitis B

    • Full vaccine series, positive titer, or declination accepted

  • Varicella

    • Full vaccine series, positive titer, or equivocal titer with recent Varicella dose

  • MMR

    • Full vaccine series, positive titer, or equivocal titer with recent MMR dose

  • Flu shot - Typical timeframe for flu shot documentation is October - March

    • Flu shot, Declination


Documentation

  • Resume

    • Must be current and include facilities worked and specialties

  • SSM Floating Guidelines Agreement

  • Online Learning Certificate

    • Assigned/completed before claiming orientation shift


Experience Requirements (Verified Specialties)

  • RN

    • 1+ years of experience required

    • Will accept inconsecutive experience that adds up to a year. Experience must have occurred within the past 5 years

  • CNA

    • 6+ months of acute experience required

  • Skills Validation

  • EHR Competency


Orientation Details

General Rules

  • All facilities require orientation

  • Orientation determines which facilities you can work at

SLU

  • Opens access to all St. Louis facilities except Cardinal Glennon

Cardinal Glennon

  • Requires separate orientation

    • Must have pediatric experience

  • CNAs (sitters) may work after orienting elsewhere

Other Facilities

  • Orientation at one opens others except SLU and Cardinal Glennon

Jefferson City

  • Separate process and orientation required

SLU-Specific Requirements

  • Level 1 Trauma Center - arrive early

  • Complete EPIC training before shift

  • Call IT before first shift: 866-776-4357

  • Badge pickup:

    • Nursing Operations Office (2nd floor, 24/7)

    • Ring doorbell for access

SLU Parking

  • First orientation shift -> Main garage allowed

  • After orientation -> Do NOT park in main garage

Mask Fit and Orientation Requirements

  • Bring OSHA clearance form

  • Complete:

    • Checklist (signed by preceptor)

    • Glucometer high/low controls

    • Mask fit

Glucometer (SLU)

  • Must complete high-low controls during orientation

  • Expires annually

  • Renew by repeating controls

Floating (Missouri)

  • May float between hospitals

  • Not to SLU or Cardinal Glennon unless oriented

  • Notified 2 hours prior

  • Cardinal Glennon Children's Hospital

  • DePaul Hospital

  • St. Mary's Hospital

  • St. Charles

  • Wentzville

  • Lake St. Louis

  • St. Clair

  • Jefferson City (Mid-MO)


What to Expect On-Site

System Setup

  • You will receive 2 Workday emails

    • Set up your login credentials

  • After setup:

    • ShiftMed requests system access

    • You receive login info in your Welcome Email

  • Same login used for:

    • Workday

    • Epic

    • All SSM systems

Before Your Shift

  • Check ShiftMed app 30 minutes before shift

  • Review:

    • Unit assignment

    • Any changes

On Arrival

  • Report to Nursing Supervisor

Timekeeping

  • Clock in/out using:

    • ShiftMed app

    • Workday

Do NOT clock out for breaks in the app!

Dress Code

  • RNs: Navy

  • CNAs: Gray

  • RTs: Seal Blue


System Access Requirement

  • You must work at least 1 shift every 60 days

  • If not:

    • You will lose access to:

      • Workday

      • Epic

      • All SSM systems


Bundles (Long Term Assignments Only)

What is a Bundle

  • A long-term assignment on a specific unit

  • 3 guaranteed shifts per week

Scheduling

  • You may work up to 4 shifts/week

  • Only 3 are guaranteed

Weekend Requirement (Bundles Only)

  • Required: 4 weekend shifts per 4 weeks

  • Weekend shifts include:

    • Friday

    • Saturday

    • Sunday

Process

  • Submit schedule in app

    • Manager approves

    • Initial 4 weeks scheduled

Extensions

  • 8 weeks

  • 12 weeks

  • Ongoing


Critical SSM Policies

Do Not Return (DNR) Policy

  • You may be placed on DNR if you:

    • Refuse an assignment

    • Leave a shift early

    • Are caught sleeping on shift

DNR applies to ALL SSM facilities!

Attendance

  • Only schedule shifts you can work

  • Excessive call-outs may result in DNR

Pay

  • Pay period: Saturday -> Friday
    Paid every Friday

  • Pay Options:

    • Weekly pay

    • Next-day pay

    • Same-day pay

Orientation shifts are not eligible for early pay!

Final Reminders

  • Do not refuse assignments

  • Maintain strong attendance

  • Work at least once every 60 days

  • Complete all required orientations

  • Check app before every shift


ShiftMed Attendance Policy and Expectations

  • Clocking in and out:

    • You are required to clock in and out for every shift using the ShiftMed app

  • Missed Punches:

    • If you are unable to use the app, you must promptly request a missed punch form from the Care Team to correct your time

  • Cancelling a Shift:

    • If you need to cancel a shift, you must report it in the ShiftMed app

  • Attendance Expectations:

    • ShiftMed operates as an on-demand or PRN platform and may categorize attendance events such as call-outs, cancellations, and unscheduled shifts using a weighted system. Hospital partners maintain high attendance expectations and may consider any change to a claimed shift to be an attendance violation

    • Failure to adhere to these procedures, or patterns of excessive lateness or cancellations, may impact your future shift opportunities at all SSM MO facilities.
