When completing your I-9 Form in the ShiftMed app, you’ll need to pick someone to be an authorized representative. It can be anyone over the age of 18 who can verify your List A or List B and List C documents in person. So, ask a friend, family member, or neighbor to help you out.
When asking someone to be an authorized representative, explain that you need them to help complete your I-9 Form—a government form used to verify your identity and employment authorization in the United States. All they need to do is meet you in person to review and confirm that your List A or List B and List C documents reasonably appear to be genuine and relate to you and complete the form using the link provided.
Authorized Representative Process
The authorized representative completes Section 2 of the I-9 Form on behalf of ShiftMed. Here’s how their role plays out in the I-9 Form completion process.
Step 1
You select an authorized representative and submit their contact information in the ShiftMed app.
Step 2
Once we have the authorized representative’s contact information, we send them an email with the subject line: Help <applicant's name> get hired. The authorized representative will need the link in this email to complete and sign your I-9 Form after they meet with you in person to review your List A or List B and List C documents.
Step 3
Use your smartphone to take pictures of your List A or List B and List C documents (front and back). Upload these images in the ˈdocument selectionˈ screen in the ShiftMed app.
Step 4
Meet with the authorized representative in person and show them the original hard copies of the documents you uploaded into the ShiftMed app. The authorized representative must verify the documents appear to be genuine and relate to you. They can reference here if they want more information on the review process or here to confirm that the documents are acceptable for I-9 Form purposes.
Step 5
In the email (Step 2), there will be an active link for the authorized representative to click to verify your presented List A or List B and List C documents and provide an electronic signature. That’s it! They’re done!
Authorized Representative FAQs
What happens if the authorized representative doesn’t receive their email?
Start by making sure you listed the correct email address for the authorized representative in the app. If the address is correct, the authorized representative should check their spam or junk email folder. If they don’t see it, you can use the app to resend the email! Go to the ˈMy Credentialsˈ section of the app, tap the I-9 credential, and select the ˈSend Reminderˈ button.
Why is the authorized representative getting a 404 Error message when they try to open the I-9 Form?
Every time you send a reminder to the authorized representative within the app, they receive a new email with a new link, which, in turn, disables all the links in the previous emails. If they receive a 404 Error message when they click the link in the email, it’s usually because they’re not using the most recent email you sent them.
What if I want to change the authorized representative?
Go to the ˈMy Credentialsˈ section of the app and select the I-9 credential. When you scroll to the bottom of the I-9 screen, you’ll find the fields to update the authorized representative below the ˈSend Reminderˈ button. Once you update the required fields, be sure to tap the ˈUpdateˈ button to save your changes!
