Getting Started: Virginia Hospital Center Onboarding Guide for Healthcare Professionals

Everything you need to know about onboarding with VHC!

ShiftMed Requirements

To begin onboarding through ShiftMed, all healthcare professionals will need to submit and complete the following within the ShiftMed app:

  • Proof of Identification (DL, Photo ID, Passport, etc.)

  • Social Security Number

  • Professional License: (6+ months experience)

    • You can upload multiple Professional Licenses and any Specialties, if applicable.

  • Training Manual: Complete directly within the app using the tap to sign feature.

  • Company Handbook: Complete directly within the app using the tap to sign feature.

  • Arbitration Agreement

  • Submit Work History (this is like uploading a resume)


Credentialing Requirements

Candidates must complete the following credentialing expectations:

Background Checks & Screening

  • Checkr Background Check (National + State-specific)
    Includes:

    • SSN Trace & Validation

    • Criminal History (Felony & Misdemeanor — 7 years, all counties identified via SSN trace)

    • Federal Criminal Search (all applicable districts)

    • Healthcare Sanctions (FACIS III — all states + federal)

    • Widescreen Plus

    • National Sex Offender Registry

  • Registry Checks

    • Global watchlist

    • Sexual predator registry

    • SAM

  • OIG / EPLS

    • Completed monthly


Certifications

  • BLS / ACLS / PALS (AHA only)

    • Verified from primary source


Health Requirements

  • TB Requirements:

    • TB Blood Test (Quantiferon Gold or T-Spot only) — Within last 1 year

      • Annual TB symptom screening questionnaire required

  • If Positive TB Test:

  • Must provide:

    • Negative chest X-ray and/or

    • Documentation of completed TB treatment

    • Chest X-Ray (if applicable)Required every 5 years

  • Drug ScreeningRapid 10-panel within 12 months

  • MMR

    • Proof of 2 vaccines or positive titer

    • Declinations NOT accepted

  • Varicella

    • Proof of 2 vaccines, positive titer, or MD-documented history of disease

    • Declinations NOT accepted

  • Hepatitis B

    • Vaccine encouraged but not required

    • Offered on-site at VHC

  • Flu Shot (or approved declination)Seasonal (Oct 1 – Mar 31)

    • Only medical or religious exemptions accepted

  • TDAPWithin last 10 years or declination

    • Required for units: ED, Mother Baby, L&D, NICU, Maternal/Fetal Medicine, PICU

  • COVID-19 Vaccination

    • Exemptions and declinations accepted

  • N95 Mask Fit Test

    • Completed on-site (if needed)

  • Color Blind Exam

    • Completed pre-hire

      • If failed, must notify manager for accommodations

  • Physical / Health Attestation

    • Required prior to start


Documentation

  • Resume — Must include professional experience and education


Training & Compliance

  • Skills Self-Assessment — Completed pre-hire

  • Required Trainings (ShiftMed Onboarding):

    • OSHA Training

    • HIPAA Training

    • Abuse Training & Prevention

    • General Precautions & Fire Safety

    • Dementia Training

    • Dysrhythmia Training

      • Required for L&D roles

        • Competency Assessment / Skills Checkoff

        • Completed during shadow shift or via Relias


LMS & Learning Modules

  • Training may include:

    • ShiftMed LMS modules

    • SCORM file imports

    • Hospital-specific LMS access

  • May be completed:

    • Pre-hire or

    • On first day onsite


Orientation

  • Orientation: Every other Tuesday


What to Expect on Site:

  • Charting System: EPIC

  • Scrubs: No specific color requirements


ShiftMed Attendance Policy & Expectations

  • Clocking in and out:

    • You are required to clock in and out for every shift using the ShiftMed app.

  • Missed Punches:

    • If you are unable to use the app, you must promptly request a missed punch form from the Care Team to correct your time.

  • Cancelling a Shift:

    • If you need to cancel a shift, you must report it in the ShiftMed app.

  • Attendance Expectations:

    • While ShiftMed operates as an “on-demand” or “PRN” platform and may categorize attendance events - such as call-outs, cancellations, and unscheduled shifts - using a weighted system (see more details here), our hospital partners maintain high attendance expectations and may consider any change to a claimed shift to be an attendance violation.

    • Failure to adhere to these procedures, or patterns of excessive lateness or cancellations, may impact your future shift opportunities at all VHC facilities.
