Getting Started: Cottage Hospitals Onboarding Guide for Healthcare Professionals

Everything you need to know about onboarding with Cottage Hospitals!

ShiftMed Requirements

To begin onboarding through ShiftMed, all healthcare professionals will need to submit and complete the following within the ShiftMed app:

  • Proof of Identification (DL, Photo ID, Passport, etc.)

  • Social Security Number

  • Professional License: (6+ months experience)

    • You can upload multiple Professional Licenses and any Specialties, if applicable.

  • Training Manual: Complete directly within the app using the tap to sign feature.

  • Company Handbook: Complete directly within the app using the tap to sign feature.

  • Arbitration Agreement

  • Submit Work History (this is like uploading a resume)


Credentialing Requirements

Candidates must complete the following credentialing expectations:

Background Checks & Screening

  • SAM

  • OIG

  • Background Check

  • Drug Screen (9-Panel)


Health Requirements

  • TB Test

    • Chest Xray, Blood Test, 2 Step Intradermal, Allows Agreement Renewal

  • Covid-19

    • Vaccine/Boosters

    • Religious Declination Form

  • Hep B

    • Vaccine or Titers, Vaccination Series Started or Vaccine Declination

  • MMR

    • Titer, Vaccine or Declination

  • Varicella

    • Titer, Vaccine, Medical History or Declination


Certifications

  • Emergency Department (ED RNs)

    • BLS

    • ACLs

    • PALs

  • ICU/Med-Surg (as applicable)

    • BLS

    • ACLS

    • PALS

    • EKG Assessment/Quiz


Experience Requirements

  • RNs: Minimum 1 year of acute experience required

  • LNAs & LPNs: Acute experience preferred (not required)

  • OR RNs: Minimum 2 years of experience within the past 3 years


Orientation

  • 1 day of orientation required

  • Completion of 4 learning modules

  • Skills checklist (completed and left on-site)

  • N95 mask fit testing (completed during orientation)

Available Schedule:

  • Monday–Friday

    • 7:00 AM – 3:30 PM or

    • 3:00 PM – 3:30 AM

Important:

  • No weekend or holiday orientations

  • Orientation requests must be submitted at least 10 days in advance


What to Expect on Site

Charting System: Oracle


Floating Guidelines

  • Behavioral Health RNs → May float to Med-Surg (if experienced)

  • Med-Surg RNs → May float to Behavioral Health (Ray of Hope)

  • ICU RNs → May float to Med-Surg

  • LNAs → May float to all units

  • ED RNs → Remain in ED unless cross-trained

Key Reminders:

  • Submit orientation requests at least 10 days in advance

  • Expect modules and skills validation on Day 1

  • N95 mask fit testing is completed on-site during orientation

  • Be prepared to float based on experience and unit needs


ShiftMed Attendance Policy & Expectations

  • Clocking in and out:

    • You are required to clock in and out for every shift using the ShiftMed app.

  • Missed Punches:

    • If you are unable to use the app, you must promptly request a missed punch form from the Care Team to correct your time.

  • Cancelling a Shift:

    • If you need to cancel a shift, you must report it in the ShiftMed app.

  • Attendance Expectations:

    • While ShiftMed operates as an “on-demand” or “PRN” platform and may categorize attendance events - such as call-outs, cancellations, and unscheduled shifts - using a weighted system (see more details here), our hospital partners maintain high attendance expectations and may consider any change to a claimed shift to be an attendance violation.

    • Failure to adhere to these procedures, or patterns of excessive lateness or cancellations, may impact your future shift opportunities at all Cottage Hospitals.
