What should I expect when Onboarding with ShiftMed?

The onboarding process is as easy as 1-2-3!

  1. Download the ShiftMed app

  2. Register your profile

  3. Upload your credentials directly through the app

Note: Some partner facilities will have additional requirements such as a minimum showrate, orientation shift(s) or additional credentials.


Why is my I-9 being rejected?

As part of your onboarding, you’ll need to complete an I-9 Form—a government requirement that verifies your identity and work authorization in the U.S. Since ShiftMed hires remotely, you’ll complete this step electronically in our app.

Some common reasons your I-9 may be rejected:

  • Incorrect document number: Ensure you've entered your document number, such as your Driver's License Number, correctly. We are unable to correct typographical errors.

  • Incorrect document type: Ensure you've selected the correct document type for the document you are using. (Example: State Issued ID vs. State Issued Driver's License)

  • Photo of document was blurry or cut off: Ensure you can see all pertinent details and that the photo is clear and easy to read.

If your I-9 is rejected, the process will start over. To avoid delays with onboarding, ensure you're following the appropriate steps for complete your I-9.

What is the difference between State Credentialing and Facility Credentialing?

State-specific credentialing includes all requirements that ShiftMed must fulfill under your home state’s laws and regulations. For example, depending on the state you live in, you may be required to complete a specific type of TB test or submit fingerprinting documentation.

What is the background check process like?

Background checks can vary from state-to-state. Some states will have additional registry checks or fingerprinting requirement, while others may use Checkr to complete their checks. If your state uses Checkr, you will be prompted to complete the background check after claiming your first shift.

The timeline for background checks vary from state to state. Most background checks take anywhere between 2 days and 4 weeks. Timeframes are dependent on third-party verification and cannot be expedited by ShiftMed.

What should I do after completing the paper receipt for my background check?

If you have completed the paper receipt for your background check, please send the receipt to bg@shiftmed.com for our credentialing team to process it. If you have already sent the receipt, please allow 1 to 3 business days for a status update or response. Once the document is reviewed by our Credentialing Team, the status will be updated within the app.


What are the CPR requirements for ShiftMed?

For states where CPR is required, ShiftMed will accept the completion of any online CPR course, however, some partner facilities will only accept in-person BLS certifications.

You may encounter some facilities that require certifications to be issued through a specific provider such as American Heart Associations or American Red Cross.

NOTE: Some acute hospitals require specific specialized caregivers hold multiple different types of CPR certifications to ensure they are able to care for all types of patients that may come to their specific department.

Which vaccinations are required by ShiftMed?

Vaccination requirements vary from state-to-state and from facility-to-facility.

In some cases, you may be able to submit a Declination or Exemption for a specific vaccination or health screening.

What should I do if I'm not licensed in the state where I claimed a shift?

If you’re not licensed in the state where the shift is located, you cannot proceed.

Consider applying for a Multi-State License or Reciprocity.


What if one of my credentials is missing or expired?

If your TB test or physical exam credential is missing or expired, you can’t claim shifts.

  • Use the “Tap to Renew” option in the app to extend credentials (except in California, Illinois, and Indiana, where extensions aren't allowed).

Remember: If a credential is active now, but expires before the shift date, the claim will fail.


What if I don’t have the proper license for a shift?

You must hold the correct professional license for the shift type:

  • For example, if you try to claim an LPN shift but only have a CNA license, you’ll get a failed claim.


Why can't I upload my documents in the app?

  1. Go to your phone settings and make sure ShiftMed has access to your photos and camera roll.

  2. Confirm that your phone software is updated to the latest version.

    1. Go to Settings > General > Software Update (Apple) or Settings > System > Software Update (Android).

    2. Check the official Apple or Android websites for the latest available version.

  3. Make sure ShiftMed notifications are enabled in your phone settings.

  4. Verify that you have completed the ShiftMed quiz, as an incomplete quiz may prevent access to the Documents and Credentials tabs in the app.

What is SAM?

SAM stands for System for Award Management, which is part of the General Services Administration (GSA) of the U.S. government.

It is a verification process used to ensure that individuals or organizations are not excluded or debarred from working on federally funded projects or contracts.


Why can't I login into the app?

There are a number of reasons why you may experience issues when trying to log in.

  • Your phone number is used as your username in the app and can only be updated by speaking with our Care Team. If you've already got a ShiftMed account with a different phone number, please reach out by phone or chat.

  • The system will only allow your email address to be used once. If you already have a ShiftMed account with the same email address, you will be unable to finish setting up your new profile.

  • You may have blocked the system from being able to send your verification code. For steps to re-enable texting, check out this article.

What if I don't pass the quiz?

If you do not pass the quiz the first time, no worries, you have 3 chances to pass the quiz. If you have taken the quiz 3 times and have not passed, you will not be able to move on with ShiftMed.


What is the Arbitration Agreement?

This agreement establishes arbitration as the method for resolving all work-related legal disputes. A neutral arbitrator, mutually appointed by both parties, will hear the case. This forum is generally faster, more efficient, and less expensive than traditional litigation, offering a less formal and stressful alternative to a court trial. The agreement doesn’t stop you from reporting any illegal behavior to government agencies like the EEOC or OSHA.
